Run a group

Create a group, decide who can join, share the work with roles, and keep track of what happens.

For: Group admins

Create a group

1.

Open Groups and tap Create group.

2.

Give it a name, choose Who can join, and add a description, a neighbourhood pin and categories.

You can create up to 10 groups, archived ones included.

Already have a Telegram group or a Discord server? Tap Connect a chat group instead: the bot creates the Party Up group from your chat, named after it. Link that Telegram or Discord account in Linked accounts first: the bot checks that the person linking the chat is you.

Who can join

Open: anyone signed in can join from the group page. Request to join: people ask, and you approve or reject them in People; someone you reject can ask again after 24 hours. Invite-only: the group stays private and people join with an invite link.

There is one link at a time, and you manage it under Invite link in Manage group.

Tip

For the group to show up in Discover groups, turn on List on Discover groups. The group needs a description, a cover photo and a neighbourhood pin, and can't be Invite-only.

A group can also connect one Discord server. Its channels work like Telegram topics: see the Discord guide.

Share or reset the invite link

The Invite link card appears in Manage group only for invite-only groups that are turned on. Open and request-to-join groups use Share for their public page instead, which works only once the group is listed in Discover groups, and an archived group has no card until you reactivate it.

1.

Open Manage group. Under Invite link, set Expiry to Never, 1 day, 7 days or 30 days, then tap Create link. Both show only while the group has no active link.

2.

Tap Copy link or Share and send the link. The card shows when it expires.

3.

If the link ends up somewhere it shouldn't, tap Reset link. The old link stops working straight away and a new one replaces it; people who already joined stay in the group. To change the expiry of an existing link, reset it: pick the new expiry in the same panel, then tap Reset link.

Your group's page

Every member opens the group from Groups with View page, whether or not it is listed in Discover. The page shows all upcoming events, the admins and your role. From there you can use Invite people when the group can be shared, open its Telegram chat, Hide events from the list or Leave group (the creator of the group has no Leave group button); admins also get Manage. People outside a private group never see its page.

Remove someone

In People, Remove from group takes a member out of the group. They lose their roles and their spots on the group's upcoming events that only members can see, the waitlist moves up, and leaving those events this way never counts against their reliability. Events they host, and events that are public or also shared with another group, are left alone: they keep their spot on those and stay a host of their own events, even after a ban. They get a short notice that they're no longer in the group, and they can come back the usual way.

Remove and ban does the same and keeps them out: until you lift the ban under Banned members, they can't join, ask to join or use an invite link, and neither the group's Telegram chat nor its Discord server brings them back. You and every Super Admin can remove and ban anyone except the creator. Removals and bans show in the audit log.

Tip

Removing someone here doesn't remove them from the group's Telegram chat or Discord server. Remove them there too.

Tip

If you remove a Super Admin from a group set to Invite-only without banning them, they may still have the invite link and can rejoin with it. Tap Reset link under Invite link so the old link stops working.

Share the work with roles

As the creator you can do everything, and you can be picked as a co-host of events created as the group. A Super Admin can do the same: they can be picked as a co-host too, and can edit the group, manage people, roles and topics, and approve or delete events posted to it. A Publisher can create events in the group, under their own name, and hosts those alone. A Moderator can delete other people's messages in the group chat, and never hosts events. In the group chat, everyone's role shows beside their name, so members can tell who to ask: you and any Super Admin show as Admin, the others under their own role.

Approve events before they appear

Turn on Require event approval and events posted to the group wait for you or a Super Admin to approve them. Until then members don't see them and nothing is posted on Telegram. Events from admins are approved straight away, so an event the group itself hosts never waits.

When the group hosts an event, every member is told about it, and each of them can turn that off under New events. An event a Publisher posts under their own name alerts only the people who follow them; everyone else finds it in the group.

Keep track

In Audit log you'll find role changes, removals and bans, events deleted by admins and creator handovers; Chat audit covers the group's chat. Only the creator and people with the Super Admin role can see them.

Use Archive group to take the group out of Discover and stop new joins. Members still see its page, marked as archived. Members and roles stay, and you can reactivate the group later. Archiving and reactivating never change who hosts the group's existing events.

Hand the group over

The creator can't leave their own group, so they hand it over first. Only the creator sees Transfer ownership, so if you're a Super Admin and not the creator you won't find it. If you are the creator, open People, and under Transfer ownership pick a Super Admin, or use Make creator on any member, and confirm. The person you pick becomes the creator straight away and gets a notification, you become a Super Admin, and the handover shows in Audit log. You can then leave the group like any member.

Handing over changes no event: every event keeps its hosts. The new creator can pick co-hosts when creating events as the group, and manages the host list of the group events they host.

Delete a group

Only the creator can delete a group. Archiving keeps the group and can be undone; deleting removes it for everyone, for good. In Manage group, tap Delete group. The next screen shows how many members will lose the group and which upcoming events will be cancelled. Type the group's exact name, then tap Delete group forever.

The group goes straight away. Members are told, and people who joined the upcoming events it hosts are told those events are cancelled, the same way as when a host cancels. Events already under way or finished stay. A linked Telegram chat or Discord server gets a goodbye from the bot, which then leaves. Party Up can also remove a group that breaks the rules: its members are told it was removed by Party Up, and the creator gets a statement explaining why, which they can appeal.

If the creator deletes their account

If the creator deletes their Party Up account without handing the group over, a group with other members stays and gets a new creator automatically: the Super Admin who has held the role longest; if there is none, the Moderator or Publisher who has held the role longest; otherwise the member who joined first. A group with no other members is deleted.

Members, roles, the Telegram connection and the group chat stay. Events the creator made that have another host stay too: each passes to the host who has been on it longest, whether past, cancelled or upcoming. Only the events nobody else hosts are deleted, with their guest lists, invite links and reviews. The creator's chat messages show as coming from a deleted user.

People who joined an upcoming event that is cancelled, waitlist included, are told, the same way as when a host cancels; an event another host keeps carries on, and its guests hear nothing. In groups linked to Telegram, the posts for the cancelled events are marked Cancelled and lose their buttons. The new creator gets a notification, and the handover shows in Audit log. Before anything is deleted, Delete account lists the groups that change hands, who takes each one, the upcoming events another host keeps and the ones that will be cancelled.

Tip

Leaving Party Up? Hand the group over first under Transfer ownership, so you decide who takes over. Otherwise it passes to the next member in line, as described above.
